How to create a meeting, a meeting link, or a task

The "Create" button in the calendar is a single entry point for planning. The menu that opens offers four options: an instant meeting, a scheduled meeting, a meeting link, and a task.

Instant meeting

Click "Create""Instant meeting" — the call starts right away, with no intermediate form and no prior scheduling.

Scheduled meeting

  1. Click "Create""Scheduled meeting".
  2. Enter a meeting title.
  3. Set the date, start time, and end time.
  4. Turn on "Repeat" if it's a recurring meeting.
  5. A Darlean meeting link is added automatically — you can remove it with the "x" if you don't need it.
  6. If the meeting will happen in Google Meet, turn on the "AI assistant for Google Meet" toggle — it joins the call, records the conversation, and prepares a short summary with key action items.
  7. If the meeting is offline, add the location in the "Add offline meeting location" field.
  8. Add participants.
  9. Add a description if needed.

This same flow is available two ways: via "Create""Meeting link", or via "Scheduling""+ Meeting link".

  1. Enter a meeting title.
  2. Choose a duration: 15, 30, 45 minutes, or 1 hour.
  3. Set a time slot — a date and a time range. Use "+ Time slot" to offer more time options to choose from.
  4. Choose the meeting format — "Online" or "Offline". For the online format, a Darlean meeting link is filled in automatically.
  5. Add a description and attach a file if needed.
  6. Leave "Take calendar into account" turned on, so the system won't suggest times you're already busy.
  7. Click "Create link".

You can send the finished link to anyone — they'll pick whichever time slot works for them from the options you offered.

Task

  1. Click "Create""Task".
  2. Set the date, start time, and end time.
  3. In the "Select task" field, choose which existing task this time block belongs to.
  4. Add a description if needed.
  5. Click "Create".
