Workspace Settings

General

This section contains company information:

  • company logo
  • legal entity name
  • workspace name
  • address, phone, website, email
  • BIN (Business Identification Number)

Users and Teams

In this tab you can:

  • invite users
  • set statuses
  • view invitation statuses: approved, pending, expired
  • activate or deactivate a user
  • enable or disable org structure and timesheet

Integrations

Sync Darlean's calendar with external calendars:

  • Google Calendar
  • Outlook

Access Rights

This section consists of three parts.

1. Team

Four tabs:

  • Roles — description of roles, access types, and number of users per role
  • Custom roles — displays the workspace user role and any created custom roles
  • Users — assign a custom role to a user
  • Confidential data — grant access to view confidential company information (salary, bonuses, etc.)

2. Processes

Two tabs:

  • Roles — access rights and number of users per role
  • Users — grant access to launch specific user processes

Directories

Directories are used to store and manage data used in the company's operations and various system modules. They can contain:

  • department lists
  • contract templates
  • job titles
  • project lists
  • document types and other data

How to Access Directories

  1. Click the workspace name in the upper left corner of the screen.
  2. In the menu that opens, select "Workspace Settings" (gear icon).
  3. Go to the "Directories" section.

How to Add a Value

Users with the appropriate access rights can edit existing data and add new values:

  1. Select the required directory category.
  2. Click the "⋯" icon (three dots).
  3. Select "+ Value".

Docflow Settings

This section consists of 5 parts. Below is the first — document numbering rules.

Document Numbering Rules

Automatic document numbering assigns registration numbers according to defined rules. This ensures a uniform format, eliminates manual entry, and prevents duplicates.

How it works:

  • The feature is configured separately for each document type.
  • When a document is created, the system identifies its type and checks whether auto-numbering is enabled.
  • If enabled — the number is generated automatically according to the defined pattern.
  • If disabled — the number is entered manually.

The generated number is created according to a single rule and is unique.

How to Open Auto-Numbering Settings

  1. Go to Workspace Settings.
  2. Open the "Docflow Settings" section.
  3. Select "Document Auto-Numbering Rules".

How to Create a Rule

  1. Click "Create rule" or open an existing one.
  2. Select the document type.
  3. Add and arrange pattern elements in the required order.
  4. Configure the parameters for the "Number" element.
  5. Specify a reset period if needed.
  6. Check the number preview.
  7. Click "Save".
