Drive — overview and file access logic

The Drive module is your personal file space. It brings together every file you've uploaded yourself and every file others have shared with you — no matter which module the file originally came from (Projects, Tasks, Document Flow, and others).

Which files you see in Drive

Drive only shows:

  • files you added or uploaded yourself — whether you did this in Drive itself or in another module;
  • files that were shared with you — through the Share feature.

If a file wasn't added by you and wasn't shared with you, it won't appear in your Drive. Access to project or task files isn't granted automatically: file visibility is always set individually, through ownership or an explicit share.

Where files come from

You can add a file in two ways:

  • directly in Drive — by uploading it to your personal space;
  • in any other module — when creating or attaching a file to a project, task, request, or document.

Once added, a file is visible only to you. To let others use it, share it — see How to share files and manage access.

Drive splits files into two sections:

  • My files — everything you uploaded or created yourself;
  • Shared with me — files other users have given you access to.

Opening a file's card always shows:

  • who owns the file;
  • the source — the module or item where the file was created;
  • who has access to it;
  • the date of the last update.

Storage and limits

  • Every file you have access to counts toward your workspace's total storage.
  • Personal files count against the storage limit of whoever uploaded them. Files shared with you count against the owner's limit, not yours.
  • When a file owner reaches the storage limit:
    • they can no longer upload new files;
    • the system notifies the owner and administrators;
    • anyone the file was already shared with keeps their access until it's deleted.
