How to share files and manage access in Drive
Any file you've uploaded or created can be shared with other users. Access settings work the same way regardless of which module the file is in — Drive or any other.
How to share a file
- Open the file in Drive or in the module where it's located.
- Click Share.
- Choose who to give access to:
- A specific user — by name, email, or ID.
- A group — for example, everyone on a project, in a department, or with a certain role.
- A link — if this is allowed by your company's security policy.
- Set the access level: view, comment, or edit.
What the recipient sees
Once you share a file, it appears for the recipient under Shared with me. You remain the owner — the recipient works with the file within the access level you set (view, comment, or edit).
Example: you uploaded a file to a task in the Projects module and shared it with a colleague. In their Drive, under "Shared with me" → "Projects" → "Website redesign", this file will appear — with exactly the access level you specified.
Managing access

Notifications
You'll receive a notification when:
- You're given access — "brief.pdf was shared with you (Projects → Website redesign)".
- Your access is changed or revoked.
The file owner can always open the list of users with access and see the date of the last permission change.
